Silhouette 4: Copy Template

This issue has popped up a few times where a teacher tries to add student names to a Template and they can't find a class list file with the student names on it. This probably only happens once a year in the fall.

Here is what happens:

  • The teacher creates a class folder on the Network drive and then exports it to his/her USB drive.
  • The teacher goes home and starts working on the reports but decide s/he wants to use a Template. So s/he creates an empty class folder, creates the Template(s) and goes to add the students from a classlist file.
  • But there isn't a classlist file in the CLIST folder on the USB drive that has the students in it, just the empty classlist file. This occurs because the classlist associated with the original class is back at school on the Network drive.

Fixes: (well, actually nothing is broken but here is what to do. You need to be connected to the school network to both of these.)

Answer #1:

  1. Export the classlist file to your USB drive. You have to do this at school.
  2. Start up Silhouette using the network version on T: drive. Go into the Student Reports module. You should see your original class folder there that you created before you exported it to your USB drive.
  3. Click once on the class folder that has all of your students in it and then click on the Export Classlist button.
  4. Click on the Select Other Destination button and navigate to the drive where your USB drive is and the click on OK. Click on the Export Class list... button.
  5. Or, if the class folder or Class list file doesn't exist, you can try Answer #2.

Answer #2:

  1. Copy the schoolwide data file to your USB drive. You have to do this at school.
  2. Start up Silhouette using the network version on T: drive. Go into the Student Reports module. Click on the Class Utilities button:
  3. Click on the Select Other Destination button and navigate to the drive where your USB drive is and the click on OK. Click on the Export Class list... button.
  4. Click on the Export Schoolwide Data File button.
  5. Click on the Select Destination button and navigate to the drive where your USB drive is. Click OK and then on the Export to: button.
  6. When you go home repeat the process but instead of clicking on the Export Schoolwide Data File button, click on the on the Get Schoolwide Data File button.
  7. Then, when you are adding students to the Template, you can use the second option Use schoolwide data file.
